1. Who we are and what this document is about
1.1. The robodata.ru website belongs to SBE-TECH LLC. We supply robotics to companies and sole traders.
1.2. With regard to the data you leave on the website, we act as the personal data operator. Our details:

1.3. This document explains in plain words: what data we collect on the website, why, on what legal basis, whom we share it with, how long we keep it and what you can require from us.
1.4. The document applies to every part of the robodata.ru website, including the request form, the chat with the AI consultant and the development and integration section.
2. What data we collect
2.1. Data from the request form
You provide it yourself when you submit a request:
- name
- phone number, email address or messenger handle (Telegram, WhatsApp): you enter the contact that matches the channel you selected
- the contact channel you selected
- the text of your task, if you wrote it (the field is optional)
- information about the page and the equipment the request was sent from, as well as the deal format you are interested in: rental, purchase or leasing
If you have consented to analytics, we also store, together with the request, information on how you arrived at the site: advertising tags in the page address and your visitor id in the web analytics service.
Together with the request we store the proof of your consent: the date and time of submission, the revision of the documents in force at that moment, and the exact wording that stood next to the checkbox. This is needed so that a year later it is possible to reconstruct what exactly you agreed to.
2.2. Data from the conversation with the AI consultant
The consultant answers questions about equipment and can pass your request on to a manager. We store:
- the text of your messages and the consultant's replies
- the name, contact details and task description, if you gave them to the consultant so that we could reach you
- the conversation id, which is kept in your browser so that the conversation can be continued on your next visit
We cannot check what exactly you write in the chat. Please do not give the consultant passwords, identity document details or other people's data.
2.3. Data about your visit to the website
It is collected by analytics systems, and only after you have pressed «Accept» on the cookie banner. Before you answer, analytics is not loaded at all: no counter starts and nothing is stored in your browser.
What is collected: the addresses of the pages viewed, the referrer and advertising tags, actions on the pages, device and browser type, screen resolution, language, country and city, and your visitor id in the analytics service. Yandex.Metrica additionally records interface activity: pointer movement, scrolling and screen content.
Your IP address is not written into analytics events: the country is derived from it and the address itself is discarded. In screen recordings the content of input fields is masked, and the conversation with the consultant is excluded from the recording.
2.4. Technical server data
The IP address and the time of the request are used to protect the website against automated submissions and password guessing, and may be stored in the technical server logs. Copies of requests are not written to the logs.
2.5. Employee data
For employees who work in the administrative part of the website we store an email address and a protected representation of the password.
3. Why we process data
3.1. To answer your request: to analyse the task, select equipment, prepare terms and contact you through the channel you chose.
3.2. To correspond about your enquiry and to work on it inside the company.
3.3. To answer your questions in the chat with the AI consultant and to pass the request on to a manager if you asked for it.
3.4. To understand how people use the website and to make it more convenient: which pages they view, where they stop, where they come from.
3.5. To send you advertising and informational messages, including reminders about your enquiry. Only if you ticked the separate voluntary checkbox.
3.6. To protect the website against automated requests and abuse.
3.7. To comply with statutory requirements and to confirm that consent was obtained.
3.8. We do not take automated decisions in respect of you that would produce legal consequences. A reply from the AI consultant is not a decision: the terms of a deal are confirmed by a manager.
4. On what basis we process data
4.1. Basis for the data from the form and from the chat: your consent. You give it by ticking a checkbox that is unticked by default.
4.2. Basis for analytics and cookies: your consent, which you give with the «Accept» button on the banner.
4.3. Basis for advertising and informational messages: a separate prior consent. Without it we send you nothing.
4.4. Certain actions we perform without consent where the law requires it: for example, we respond to lawful requests from state authorities.
5. Consents: what they are and how to withdraw them
5.1. There are three consents and they are independent of one another:
- consent to the processing of the data in your request. Mandatory: without it we cannot reply and the form will not be submitted
- consent to analytics and cookies. Given on the banner. Refusing it does not limit your use of the website in any way: all sections, the catalog and the request form work exactly the same
- consent to advertising and informational messages. Entirely voluntary: the request is sent without it as well
5.2. No checkbox is ticked in advance. We do not treat continued use of the website or the closing of the banner as consent.
5.3. Any consent can be withdrawn at any time. Write to sales@robodata.ru and state the contact details you left with us: we will use them to find your data.
5.4. What happens after withdrawal: we stop processing and delete your data within no more than 30 days, unless we have another lawful basis to keep it. If you withdraw only the consent to the mailing, we stop writing to you while work on your request continues.
5.5. We remember your answer on the cookie banner for 180 days and then ask again. Refusal and consent live equally long: a refusal does not turn into a postponement. If the set of data recipients or the text of the documents changes, we ask again before that period expires.
6. Whom we share data with
We do not sell your data and do not pass it to outsiders for their own purposes. Below is the full list of those who receive the data, and why.
6.1. Yougile task management system
A Russian cloud service. Every request from the website is created there as a card with all the contact details you provided: this is how managers work with it. The service processes the data on our instruction and for our purposes, may not use it otherwise and is obliged to maintain confidentiality.
6.2. Yandex.Metrica, Yandex LLC
A web analytics service. It receives the information about your visit listed in clause 2.3 and sets its own cookies. It works only after your consent on the banner. The data is processed within the territory of the Russian Federation.
6.3. The service that processes the conversation with the AI consultant
So that the consultant can reply, the text of your message is passed to the Polza.AI service, which provides access to language models, and onward to the developer of the language model. The model developer is located outside the Russian Federation, which means that a cross-border transfer of data takes place when the consultant is used. Everything you write into the chat is included, along with your name and contact details if you state them. If you do not want such a transfer, please do not use the chat: submit a request through the form or write to us at sales@robodata.ru.
6.4. Our own analytics system
Deployed on our server in the Russian Federation, at analytics.robodata.ru. The data never leaves it and no third parties are involved. It works only after your consent on the banner.
6.5. Other cases
We disclose data to state authorities where the law requires it and where the request is made in the proper form.
6.6. Access inside the company
Access to requests is held by employees and engaged specialists who need it for their work. Enquiries are handled directly by the sales managers.
6.7. Your rights do not depend on the transfer
We remain answerable to you for the actions of those we have instructed to process the data. You may address any demand to us, at sales@robodata.ru.
7. Where the data is stored
7.1. Recording, systematisation, accumulation, storage, updating and retrieval of the data of citizens of the Russian Federation are carried out in databases located in the Russian Federation. The website, the request database, the mail and our own analytics are hosted on the server of a Russian hosting provider in Moscow.
7.2. The transfer of data between your browser and the website is protected by encryption.
8. How long we keep the data
8.1. The contact details in a request (name, phone number, email, messenger handle, task text) are kept for 2 years from the date of the enquiry. After that they are erased automatically and irrecoverably. The request itself remains with us as a record without your contact details: date, deal type, equipment category. A person cannot be identified from it, and we use it only for demand statistics.
8.2. The conversation with the AI consultant is kept for 90 days from the last message, after which it is deleted.
8.3. Data in Yandex.Metrica is kept under the terms of that service.
8.4. Data in our own analytics system is kept for as long as it is needed to develop the website.
8.5. Your answer on the cookie banner is kept in your browser for 180 days.
8.6. The proof of consent (date, document revision, wording) is kept for as long as the request itself: without it we could not confirm that we acted lawfully.
8.7. If you have asked us to delete your data, the retention period is irrelevant: we delete it at your request, as described in section 9.
9. Your rights
9.1. You have the right to:
- find out whether we process your data and obtain information about that processing: purposes, categories of data, sources, periods, and to whom it is disclosed
- require that the data be updated if it is incomplete or inaccurate
- require that the data be blocked or destroyed if it was obtained unlawfully or is no longer needed for the stated purpose
- withdraw any consent
- require that processing be stopped
- require that processing for advertising purposes be stopped immediately
- appeal against our actions to Roskomnadzor or to a court
9.2. How to exercise your rights: write to sales@robodata.ru. In your message state the contact details you left on the website so that we can find your data, and describe exactly what you want.
9.3. The periods within which we respond:
- information about the processing of your data: 10 working days. The period may be extended by no more than 5 working days, in which case we will explain the reason to you
- updating of data: 7 working days from the moment you confirmed the correct information
- termination of processing at your request: 10 working days
- deletion of data after withdrawal of consent: no more than 30 days
- termination of advertising messages: immediately
9.4. If you are asking us to delete data from the conversation with the consultant, please say so explicitly: the chat is stored separately from requests, and we will delete both records.
10. Cookies and browser storage
10.1. Cookies are small records that a website saves in your browser. We use them as follows:

10.2. Analytics cookies are set only after your consent.
10.3. You may delete cookies in your browser settings or block them at any time. Some features of the website may then work less well, but the catalog and the request form will keep working.
11. How we protect the data
11.1. What has been done:
- access to requests is limited to the people who need it for their work and is protected by password sign-in
- the administrative part of the website and the database are not reachable from the internet without authorisation
- server access is possible by keys only, password login is disabled, a firewall and brute-force blocking are in place
- the database is backed up daily and restoration from a backup has been tested
- data transfer is encrypted
11.2. The hosting provider has certified by a formal act that its platform meets the first level of personal data protection.
11.3. Absolute protection does not exist. Should a breach nevertheless occur, we are obliged to notify Roskomnadzor within 24 hours of detecting it and to report the results of the internal investigation within 72 hours.
12. Changes to this document
12.1. We may amend this Policy. The current revision is always available at robodata.ru/policy and states its date.
12.2. If the changes affect what you have already agreed to (the set of data, the purposes, the recipients), we will ask for your consent again rather than extend your previous answer to the new terms.
12.3. The Russian language revision is the legally binding one. The English and Chinese versions are provided for convenience and are for reference only.
